I may record brief coaching notes to support your progress.
These notes are stored securely and never shared without your consent unless required by law.

Only me (Heidi) has access to your data.
I do not currently employ contractors.

I use reputable services that may process your data to perform their functions:

Acuity Scheduling (bookings)
Stripe (payments)
PayPal (payments)
Google Workspace (email + storage)
Microsoft 365 (documents + email)
Canva (only if you upload photos or documents in forms)
These providers have their own privacy policies and comply with international standards.

Even with strong precautions, no system is completely risk-free, so I cannot guarantee absolute security.
11. RETENTION OF DATA
I keep personal information for as long as reasonably required:
Coaching notes: generally for up to 7 years (standard business record practice)
Student/parent coaching information: up to 7 years after the young person turns 18
Email list: until you unsubscribe
Booking and payment data: as required by tax law
Website analytics: usually 26 to 38 months (Google default)
You may request deletion at any time unless I am legally required to retain it.
12. CHILDREN & YOUNG PEOPLE
Because I work with teens and students, I:
require parent/guardian consent
protect the young person’s privacy
share themes and concerns with guardians when appropriate
follow mandatory reporting laws if safety concerns arise
My website is not directed at children under 13 for independent use. Parents should supervise website use.
